How to switch from Charity Record to DeductiBee

Charity Record is the easiest product on this list to leave, and it deserves the credit: raw CSV export is free on every account, and they say so in their terms of service rather than only in marketing. It also tracks more asset types than anyone else here, so what comes out is a set of files rather than one.

Before you start

What trips people up moving off Charity Record

  • Export is per tax year. Their instruction is literally to export each year separately, and Download All produces a ZIP per year rather than for the whole account.
  • Generating a PDF, HTML or TXF export forfeits the 30-day refund window, per their billing FAQ.
  • Deleting a free account is immediate and permanent, per their terms. Only paid accounts get a 30-day grace period.
  • TXF is a lossy handoff rather than a migration file. Their own TXF page states it stores payee name, date and amount, and their help page notes that H&R Block Desktop aggregates a TXF into two totals.
  • Their published column lists live in the import format guide rather than in an export specification, so the export header row is documented only by reference to a different document.
Step one

Get your records out of Charity Record

Order of operations matters here for a billing reason rather than a data one. Their billing FAQ states that refunds are available within 30 days unless you generate a premium export, so producing a PDF, HTML or TXF forfeits a refund you might otherwise still want. If a paid plan lapses, their documentation says the account reverts to free-tier limits with CSV-only exports, so the CSV route stays open either way. Export CSV first, then decide about the subscription, then delete.

Questions about leaving Charity Record

Do I need a paid plan to export from Charity Record?
No, and this is the most donor-friendly export policy on this list. Their FAQ states that you own your data and CSV export is always available, and their terms repeat it: you can export all your donation records at any time in CSV format. Only the formatted PDF, HTML and TXF outputs are paid.
Why does my export come out as seven files?
Because they track seven donation types separately: items, cash, mileage, stock, vehicles, digital assets and art, plus an overall summary. Download All bundles them into one ZIP per year. DeductiBee reads the item, cash and mileage files directly; the specialist asset types are outside what it tracks at version 1.
Should I export before I cancel?
Yes, though their policy is kinder than most: a lapsed paid plan reverts to free-tier limits with CSV exports still available. The real trap is different, and it is about billing. Generating a PDF, HTML or TXF export voids the 30-day refund window, so if a refund matters to you, take the CSVs only.

Menus and wording in other companies' products change without notice. If something here no longer matches what you see, we would rather hear about it than leave it wrong.

What we could not confirm

  • The field lists above come from their import format guide and their help center's description of what the product records. They do not publish an export column specification, and their own help page points at the import guide for column details, so DeductiBee sniffs the headers rather than assuming the two match.
  • Whether the charity EIN appears in the exported CSV. It is a stored field but does not appear in their published import headers, so it may not round-trip.
  • What the overall summary CSV contains beyond the seven per-type files.
  • Whether the product stores receipt or photo files at all today. Their terms discuss photo uploads as a future possibility and their art format carries a photo-on-file flag rather than an image, but we found no page confirming either way, so treat photo storage as unconfirmed rather than confirmed absent.
  • The character encoding, delimiter and date format of the CSVs.
